Design a phone agent before buying one

Give it one job first

A phone agent can be useful when it has a narrow role: answer approved questions, take a message or transfer a call. “Handle everything” is not a useful starting brief.

List the questions it may answer and the situations it must hand over. Set after-hours behavior. Decide what happens when the human destination does not answer. These are business decisions before they are software settings.

Separate knowledge from actions

A knowledge base can describe your hours, services and policies. It does not grant access to a calendar, transfer a call or reserve an appointment. Those actions require supported integrations and testing.

If booking is not connected, the agent should capture a request. It must not say a time is reserved. Unknown prices and exceptions should become human follow-ups rather than confident guesses.

Configure a provider from the brief

Choose a provider that supports the actions you need, then follow its current setup documentation. Import approved information, configure the handoff and use a test number first. Check the greeting, recording settings, data retention and any disclosure requirements for the actual use.

This builder prepares a brief; it does not provision a phone number, deploy an agent or send your data to a voice service. Provider costs and business requirements vary.

Test the awkward calls

Try an unknown price, an out-of-area request, an interruption, a failed transfer and an after-hours call. Ask for an appointment when the calendar is disconnected. The agent should handle the limit clearly, not pretend the action succeeded.

Record each test, the result and the fix. A pass percentage can hide a serious failure. False booking confirmations, invented policies and failed handoffs need fixing before a limited pilot.

Start with a limited pilot

Use a controlled overflow or after-hours role where a person can review what happened. Listen for misunderstood requests and gaps in the knowledge base. Update the source information and repeat the relevant tests.
